How we collect, use and protect your personal information and documents, and how we use cookies and consent.

1. General
This Policy explains what personal data the online service “Meridian Certified Translations” (the “Service”, “we”) processes, for which purposes, on which legal bases, who may receive it, and what rights you have. It is drafted with regard to Regulation (EU) 2016/679 (GDPR) and applicable national data protection laws (including, where applicable, the CCPA for California residents).
“Meridian Certified Translations” is an independent online information and assistance service. We are not a government agency or state-owned company and are not affiliated with any government institution. Orders are fulfilled in cooperation with third parties, qualified lawyers, notaries and certified translators.

2. What data we process, why, and on what basis
2.1. Request and order data. Name, phone, email, messenger handle, request details, and copies/scans of documents you provide for fulfilment (these may include passport data, date of birth, criminal-record information, etc.). Purpose: processing your request, quoting, concluding and performing the engagement, contacting you. Basis: performance of a contract / pre-contractual steps (Art. 6(1)(b) GDPR); for special categories of data, your explicit consent (Art. 9(2)(a) GDPR), given when you submit the documents.
2.2. Form and quiz data. Responses submitted via on-site forms/quizzes/calculators reach us through a technical form-processing platform and are used solely to handle your request. Basis: Art. 6(1)(b) GDPR.
2.3. Technical data. IP address, device and browser type, pages visited, referral source, date and time (server logs, attack protection). Purpose: security and operation of the site. Basis: legitimate interest (Art. 6(1)(f) GDPR).
2.4. Analytics and marketing data (cookies). See Section 3. Basis: your consent (Art. 6(1)(a) GDPR).
2.5. Payment data. Payments are processed by third-party payment providers; we do not store full card details.
We do not use your data for automated decisions with legal effects and we do not sell personal data.
3. Cookies and similar technologies
On your first visit you will see a consent banner. Until you consent, analytics and marketing tools are not activated (Google Consent Mode v2, default “denied”). You can change or withdraw your choice at any time via “Cookie settings” in the footer.

4. Who receives the data
Order fulfilment professionals: lawyers, notaries, certified translators and specialised agents, only to the extent necessary for your order, under confidentiality obligations.
Technical processors: hosting provider, Cloudflare (protection and CDN), Google (analytics/advertising, consent only), form-processing platform, payment providers.
Public authorities, only where required by law.
Transfers outside the EEA rely on Standard Contractual Clauses (SCC), adequacy decisions, or other lawful mechanisms.
5. Retention
Order data and supporting documents: up to 3 years after completion (limitation periods and accounting duties), unless the law requires otherwise. Consent-based data: until withdrawal. Technical logs: up to 12 months. After expiry, data is deleted or anonymised.
6. Security
Only staff who need the data to fulfil the order have access to it. We use channel encryption (HTTPS), access controls, software updates, and backups.
7. Your rights
You have the right to: access your data and obtain a copy; rectify inaccurate data; erase data (“right to be forgotten”); restrict processing; data portability; object to processing based on legitimate interest; and withdraw consent at any time (without affecting prior lawful processing).
To exercise your rights, write to our contact page; we respond within 30 days. You may also lodge a complaint with your supervisory authority (in the EU, the authority of your country of residence).
8. Children
The Service is not directed at persons under 18 and we do not knowingly collect their data.
9. Changes
We may update this Policy; the current version with its effective date is always on this page. Material changes will be announced on the site.
